Tableau Prep's wildcard union now lets you filter which files get combined by name, size, and dates rather than just eyeballing a folder, and for Excel it can even pick out specific worksheets across multiple workbooks.

Demonstrated in Tableau Prep 2022.2 by connecting to a CSV crime dataset and then an Excel superstore workbook, both sitting in folders with several similarly named files.

The Breakdown
  1. Access the feature via Tables, not Connections 0:12

    After connecting to a single file, don't look in the connections pane for other files in the folder; instead go to the Tables tab and choose 'Union multiple files' to open the wildcard union interface.

  2. Filter files by name, size, dates or folder 2:55

    You get five filter criteria - file name, file size, creation date, modification date, and the folder to search - each with its own sub-options like range, relative or rank.     As a quick tip, since Prep is a web app, you can zoom out the browser-like interface (Ctrl/Cmd minus) to fit more of the filter panel on screen when the left-hand pane feels cramped.

    Connecting to an Excel file adds a second filter type on top of the file filters: you can search by worksheet name, letting you pull only specific sheets (e.g. everything starting with 'sales') out of every matching workbook in a folder.

  5. Doesn't work with database tables 12:44

    This wildcard filtering only applies to CSV, Excel and statistics files - connecting to a database table gives you the old single-table sampling behaviour with none of these filter options.

  6. Watch for the union icon and cross-file surprises 13:55

    A small plus icon on the table only appears once a multi-file union has been successfully applied, so use it to confirm the operation worked. More importantly, you can end up connected to one file while the filter criteria actually pulls data from a completely different file in the same folder - a genuine troubleshooting trap worth knowing about.

Worth Knowing
  • File size filter aggregates units (KB/MB/GB) nicely in the criteria but displays results only in bytes, which felt like a bug at time of recording
  • Date pickers default to starting around 1972; typing the year directly is faster than scrolling the dropdown
  • It's possible to connect to one file (e.g. Superstore.xlsx) but have the filter actually source data from a different file in the same folder (e.g. bookshop.xlsx) - the flow still runs correctly, but this makes visually auditing what's feeding your flow much harder
  • Switching the underlying file connection still reapplies the search criteria intelligently, but if you're not connected to the file the data is actually coming from, you won't see it highlighted on the left-hand side
