0:00Hey Tim here, in 21.4 you can now set up a
0:02subscription for flow completion. So
0:04essentially
0:05you get an email when a prep flow has
0:07finished running. You can see here that I
0:09've actually got
0:09one it says the flow run was successful, it
0:12's got my information on it and it
0:14essentially has the
0:14name of the site flow and a few other bits
0:16of information and more importantly I can
0:19actually
0:19click on these links and go straight to the
0:21data source and check this out. In this
0:22video I'm going
0:23to show you how to set these up for
0:25yourself. You can see here that I've
0:26actually got a subscription
0:27set up that's the one that triggered the
0:29email I just showed you. Let me show you
0:31how to set one up
0:32for yourself. Okay so what I'm going to do
0:34is I'm going to head over back to the
0:35overview tab because
0:36this is the actual flow that I was using.
0:38If you don't know how to get to a flow just
0:39go to the
0:40explore tab and then go to this little drop
0:42down and you can essentially filter down to
0:45all the
0:45flows you need just there and once you've
0:47done that you can go back to the flow that
0:49you need
0:49and you're pretty much set. Now you can see
0:52that this particular flow has a schedule.
0:54You can see
0:54the status of this last run just a few
0:56minutes ago before I recorded this video
0:59and the schedule is
1:00an hourly schedule. So what I'd like to do
1:02is set up an email that responds to that
1:03schedule to let
1:04me know when it's finished so that I can
1:06then know that some data is up to date
1:08essentially. So what
1:09I can do if you go to the schedule task you
1:11can see that this task is already here. You
1:13do need a
1:14schedule task for this to work. If you don
1:16't you won't be able to create a
1:17subscription because
1:18the subscription needs to know which task
1:20to send the email after. It's a bit like a
1:23sort of follow
1:23on request essentially. So if I go to the
1:25subscriptions tab this is actually where
1:28you can
1:28set one of these up. You can see I have one
1:29here but I'm going to click on this
1:31subscribe button
1:32just there and once we've clicked on that
1:34we should get the option to set this up.
1:36Now you'll
1:36be asked to choose a frequency so this is
1:38sort of weird because it it should just
1:40sort of default to
1:41one of the frequencies you've already got
1:43so you do have to select that from the drop
1:45down. If it's
1:46the only one I think this should just
1:48default to that selection because if there
1:51's only one what
1:51else are you going to pick. So if you hover
1:54over this little I do get a bit of
1:55information about
1:56that flow and what's going on. So if I go
1:58ahead and click on that and I can say look
2:00send this to
2:01myself in particular I'll send it to a few
2:04of my emails here so we can see all this
2:06going on. You
2:07can also just tick this box into me and
2:09clear all of this and it will essentially
2:12just also work.
2:12Name the email however you want subject
2:15flow and everything else. You can also
2:17include a link to
2:18the published data source in case you want
2:20to go and check that out maybe you want to
2:22know when a
2:22data source has been updated so you can go
2:24do some work with it maybe and ask data or
2:26something like
2:27that but nonetheless you can go ahead and
2:30include the name of the data source and the
2:32linked data
2:33source then hit subscribe and that is
2:35pretty much the subscription setup. Once
2:37that's in there it
2:38gets added into this particular setup and
2:40you're good to go. Now the reason you didn
2:42't see it get
2:42added there is because I actually already
2:44have that exact schedule there so it's not
2:46going to
2:47set up a second one when the first one is
2:49already doing the job. So just to show you
2:51that that does
2:52work I'm just going to go ahead and I'm
2:54going to delete this just by clicking unsub
2:56scribe. Go ahead
2:57that will disappear from the list go ahead
3:00in there go back in just set this up to
3:02send to myself.
3:04We'll leave everything else as default we
3:05'll go ahead click all the links I did that
3:07super quick
3:08and now when we hit subscribe you see that
3:10it turns up again. So that's just something
3:12to be
3:12aware of if you choose a schedule that
3:14already exists then it's not going to set
3:16up a new one
3:16but if you choose a schedule that is new
3:18that the data source is subscribed to then
3:21it will show up
3:21when you add it on here. That's pretty much
3:23it it's a nice sort of quality of life
3:25improvement
3:25it's useful for people who want to know
3:27when a data source that they connect to in
3:29Tableau
3:29prep has been up to date so then they can
3:31hop in and go and do something or check
3:33something inside
3:34a Tableau. Maybe it's a weekly data refresh
3:36that's done by Tableau prep maybe it's a
3:38process that you
3:38need to know exactly when it's done so you
3:40can go in and do something yourself so
3:42maybe you take
3:43part of the next step of that maybe your
3:45workbook needs republishing as a result of
3:47this whatever
3:48you're using it for this is a nice quality
3:50of life improvement. Okay thanks for
