Google Drive Shared Files | New in tableau 2023.1

0:02connect to files that I shared with you

0:05inside of

0:06Google Drive. Let's get started. So here I

0:08am in Tableau Desktop. We're going to do

0:10this

0:10with Tableau Prep and Tableau Desktop. It

0:12works in both. So let's go ahead, connect

0:14to Google Drive. And when you go ahead and

0:16do this, what actually happens is it

0:18launches

0:19a browser pop-up window which asks you to

0:21log into Google. That's what's happening

0:22here.

0:23And as soon as it pops up, you can just go

0:25ahead, choose the correct Google account.

0:27I have quite a few. And then we're going to

0:29select allow. That gives Tableau permission

0:32to send free access to Google Drive folder.

0:35Once that's done, you can go ahead and

0:36close

0:36this window. Go back to Tableau and you'll

0:38see that we get a little window. And the

0:40key

0:41thing here is the shared with me tab here.

0:44So I believe previously we did have shared

0:46drives but shared with me is what's new

0:48here. And what I've done is I've gone ahead

0:50and

0:50shared a couple of datasets with myself.

0:53You can see that I have this folder here,

0:56ENGBEU

0:56mock data.csv and sample spreadsheet. Now

1:00this ENGBEU is actually the sample data

1:02that

1:02comes with Tableau Desktop. If I go ahead

1:04and open it, you can see everything that is

1:06normally in that folder is here. And it

1:08just gives you a flavor of what you can

1:09actually

1:10connect to. So I can connect to an Excel

1:12file which is the two files you can see

1:14here. I

1:15can't connect to a hyper file inside of

1:17Google Drive. I don't know what the

1:19technicalities

1:20are behind that. I don't know what the

1:22issue is. It might be that Google Drive

1:23doesn't

1:24support some sort of capability that way.

1:27But nonetheless, you can connect to an

1:29Excel

1:29file, a CSV file. If I go back to my sample

1:31datasets here, you can see there's a CSV

1:34file

1:34there. I've shown you an Excel file and

1:36this file here is actually a Google Sheet.

1:39So I'll

1:39actually go ahead and connect to the Google

1:41Sheet. I'll scroll down here, select

1:43Connect.

1:44And as soon as we hit Connect, we are

1:45pretty much good to go. I love in the new

1:47release,

1:48we get these little tips as we sort of have

1:50these loading experiences. Whoever added

1:52that

1:53is an absolute genius. Love it. And so here

1:55you can see I'm connected to my file inside

1:58of Google Sheet. And we can pretty much

2:00work with it as we normally do. We could

2:02bring

2:02in another sheet, do the data model.

2:04Everything you'd expect to do is actually

2:06possible. And

2:07the nice thing here is that it's actually

2:09persisting a live connection here. So I

2:10always

2:11wonder like, what's the sort of pipeline

2:13behind that? I wonder how Google, Tableau

2:16and Excel

2:17and CSV all work in that sort of weird

2:19setup. So nonetheless, this is super cool

2:21to see.

2:22If I switch over to Tableau Prep, actually

2:24that's a browse window, switch over to

2:26Tableau

2:26Prep, select Connect to Data, that opens up

2:28the side pane. From the side pane, we can

2:31then go ahead to Google Drive, exactly the

2:33same setup, and select our account again.

2:36I'll select the account that I've shared

2:37the files with. Once that's done, you can

2:39just

2:39go back to Tableau Prep. Same again, shared

2:42with me. And you just want to go ahead and

2:44connect to the sample data file. You can

2:46see here we've got the same files. This

2:47time I'll

2:48select a CSV file, just so you can see

2:50something different. Select Connect. And

2:52once that is

2:53ready to go, you can see that the CSV file

2:55has been loaded. It's exactly the same data

2:57,

2:57but just a different file format. And we

2:59can work with that as you normally would.

3:02That's

3:02pretty much it in a nutshell. Just note

3:04that there's a couple of new features

3:06inside of

3:06this release. The first one, which doesn't

3:09seem to be working here, is it's not

3:11allowing

3:12me to maintain the row number if the CSV

3:14file is explicitly in Google Drive. However

3:18, if

3:18I go ahead and connect to this file

3:20directly, so if we go ahead and select the

3:23text file,

3:24go to my downloads, let's go to the mock

3:26data here, let's go make sure this is

3:29sorted. Yeah,

3:30that's the CSV file. This is exactly the

3:32same data. When I connect to that, you see

3:34we do

3:34get the source row number. So just a little

3:37quirk there, if you're connecting to a CSV

3:40file that's held in Google Drive, that

3:42small detail might escape you. And that

3:45therefore

3:45might mean that if you do need that row

3:47number, you're going to need to sort of

3:48have that

3:49file locally. But nonetheless, still great

3:51quality of life improvement. With this

3:53first

3:54connection, we still get the nice

3:55capability to select multiple rows. That's

3:58also new in

3:5923.1. And if we had a date in here, we

4:01could also filter using that. So a really

4:03nice couple

4:04of changes. That's pretty much it. That's

4:06the feature in a nutshell. You can also do

4:07this in WebEdits as a connector. So

4:09essentially, the connector gets updated

4:11throughout the
