0:00Hey, it's Tim here. Tableau have added some
0:02additional capabilities to control exactly
0:05who can use explain data.
0:06For authors they've added a workbook level
0:08setting and for admins they've added a site
0:10level setting.
0:11Let's take a look at both of those now.
0:13First I'll go to a desktop setting.
0:15So I'll go over here to 2021.3 that I've
0:17got running on Windows.
0:19And essentially if you go to the data area
0:22up here, if I actually just show you this,
0:24you can go into two places to do this.
0:26If you go to the data up here and go to the
0:27data source that you're talking about and
0:30then you go to the explain data settings,
0:33you'll see that you get this little pop up,
0:35hopefully, that pops up on screen.
0:38And there you go, you've got this allow
0:39explain data setting there that can be
0:41configured.
0:42Now you can tick that or deselect that and
0:44you're pretty much off to the races.
0:46So that's also a nice way to do this. I'm
0:48not sure if this was in the previous
0:49release, but I think this has been added in
0:51this release.
0:52The simple ability to go up here to the
0:54data settings to the data source and then
0:56go to the explain data setting there.
0:58The other thing you could do is you could
0:59actually go to a data point.
1:01So if you click on a data point here and
1:03get explained data to load, click on that.
1:06When explain data loads up, what you
1:07actually have the ability to do is you can
1:10go down to this little cog over here on the
1:12bottom right hand side.
1:13And when you clicked on that cog, you can
1:14essentially open this up and you get the
1:16same control there.
1:18So there's slightly different ways of
1:19getting there, but this isn't new. This was
1:22always there and available.
1:23So now what happens when we go over to
1:25server? Well, first, I'll start with what
1:27server admins have the ability to do now.
1:30They can actually go to their settings. If
1:32you go to settings, then go to general and
1:34scroll down a bit, you'll see the
1:36availability of two features, ask data and
1:38explain data.
1:39And here you can essentially disable
1:41explain data.
1:42Now I'm on Tableau Online, so when I do
1:44this, I'm disabling it for my whole entire
1:46Tableau Online instance.
1:48Of course, each Tableau Online instance is
1:50essentially one site.
1:52So on Tableau Server, you actually have
1:54this setting for each available site on
1:56your setup.
1:57And when you've done that, you tick that
1:58box, you can go over here, click save and
2:00you're pretty much done.
2:02So let's go ahead and hit save.
2:04And now that setting has been saved and we
2:07're pretty much good to go.
2:09Now one other place you could obviously go
2:11is if we go over to a dashboard.
2:14This is sort of really interesting because
2:16you can kind of have permission control of
2:18explain data.
2:19So let's go ahead to any dashboard. I'm
2:21going to this 2020.2 release.
2:23I'll go to my Barcelona marathon vis, sorry
2:27.
2:27And I'll go into the permissions control
2:28setting just here.
2:30And of course, if we go into those three
2:32dots and open up the permissions, you'll
2:35also find a new icon just here for explain
2:38data.
2:39So you can see here that I can set this up
2:41to essentially disable certain groups of
2:43users or certain people from running
2:45explain data on my visualization.
2:48This is super handy because essentially
2:50server admins can create some sort of level
2:52of control at the site level.
2:54And authors can actually give specific
2:56people, maybe managers, maybe salespeople,
3:00maybe specific people who have sort of been
3:01trusted as champions,
3:03have gone through a training course or
3:04something like that to have access to
3:06explain data.
3:07So you know that they're using it in a good
3:08way.
3:09That's probably the most common use case
3:11for this.
3:12Get people through a training course, add
3:13them to a group.
3:14Once they've been through the training
3:15course, they get into the group and now
3:17they can run this permission.
3:19That's probably going to be, I think, the
3:20most common use case initially as we start
3:22to use this.
3:23So that's pretty much it.
3:25You can now control explain data in so many
3:27different ways.
3:29You can do it in the workbook, you can do
3:30it in the permissions and you can do it at
3:32a site level or on the Tableau Online
3:34instance if you're using Tableau Online.
