Ask data updates in Tableau Server & Tableau Online: New in 2021.3
Ask Data in 2021.3 is getting some next-level contextual touches, and honestly I wish some of this made it into the desktop calculation window.
- In 2021.3 a data source is only indexed for Ask Data once you create a lens, giving server admins more control over what gets indexed
- The query bar now uses contextual colouring to show which typed words map to dimensions or measures, and greys out words it isn't actually using
- A dotted box around a term means the analysis hasn't run yet, so you must hit enter or the blue submit button to draw the chart
- You can pin a visualisation straight to a lens's recommended visualisations and later replace an existing recommendation with a new one
- Ask Data tips now surface hints for setting up better data sources when creating a lens
0:00Hey, Sam here. In today's video, we're
0:01going to be looking at all the new
0:02improvements in ask data in
0:04Tablo 2021.3. There's quite a bit to get
0:07through here. So let's get stuck in
0:08straight away. Now the
0:09first one is the nofas just me but in the
0:12previous version of Tablo, let me go to my
0:15sample Superstore
0:16data set. Maybe I didn't realize it, but it
0:19seems that in 21.3, you have to have a lens
0:23for ask data
0:24to work. By default, when you come to a
0:26data source, the first thing you see here
0:28is a lens. So
0:29that got me thinking what happens when you
0:31don't have a lens there. So what I did was
0:33I went to
0:33another data source, let me just open this
0:35in a new tab. So we don't lose our place.
0:37And I went to
0:38the Explore tab, I found another data
0:39source where I didn't have a lens. And I
0:42found out that actually
0:43Tablo just stopped indexing that data
0:45source for our status. So essentially, if I
0:48just go to this
0:49file here, you'll see that when I get there
0:52, I don't have a lens. And there is no ask
0:54data
0:55interface, the first thing I have to do is
0:56to create a lens. And there is actually a
0:58very small
0:59notice here on the left hand side that says
1:01, you know, please create a lens so that we
1:04can re index
1:05this data source. So that's really
1:07interesting to see that change. And maybe
1:09it's a hint that
1:10essentially Tablo is going to stop indexing
1:12everything on your server, which is good
1:14for server
1:15admins running Tablo server, if they have
1:16this feature, this is going to be a nice
1:18way to sort of
1:19manage that. But nevertheless, we're here.
1:21And you can actually see that I've actually
1:23got a test
1:24lens here just to test this capability out
1:26because I wasn't sure about it. And so here
1:28we are. Now,
1:29first thing I'm going to cover is actually
1:31this feature that allows you to identify
1:33whether as
1:34data is using a field or using something
1:36you've typed or not. And there's no sort of
1:38nice way to
1:39say it. So I'll just show you if I go into
1:41my shipping lens, this is something I've
1:43created
1:43before. So I created this in 2021.2. Check
1:46out that video if you get a chance. And I'm
1:49going to
1:49click on this analysis here at the top sum
1:51of days to ship, this will take me into a
1:53number that I
1:54know is right and have used before. So we
1:56get to this point. And now this is where
1:58the feature
1:59kicks in. Let's say that I start using
2:01excessive amounts of language. So let's
2:03just say please
2:05order this by region. Okay. And so you'll
2:08actually see this sort of panel at the top
2:11light up. Okay.
2:13So the first thing to notice here says the
2:15please is grayed out order is interpreting
2:18this
2:18as some sort of dimension. So you can see
2:21order date this year order. So it's sort of
2:24interpreting
2:25that order as order date, which is not
2:27correct here. But it is actually also
2:29interpreting this
2:30by region and bringing in the region level
2:33there. So if I just get rid of this, that's
2:35not actually
2:36what I want to do, I don't want anything to
2:38do with the order date. So let's say,
2:41arrange by
2:42region, let's say let's try that arrange by
2:44region. And you can see that it figures out
2:47what
2:47it needs to. And if I go by region, and we
2:49just select it, you can see that it's not
2:52happy with
2:52that analysis. And you can see that again,
2:54arranges grayed out. So this is actually
2:56what the feature
2:57is doing. It's telling you that you typed a
2:59bit of English in there, but I'm not using
3:01it for this
3:02analysis. But it did help me get to sort of
3:04where I need to. And then it's bringing in
3:06that item in
3:06like a dotted box here, that's a really
3:08important key. And what that dotted box
3:10means is that it
3:11hasn't actually done this analysis yet,
3:14what you have to do is you have to hit
3:16enter, or on your
3:17keyboard or hit this little blue button, I
3:18hit the blue button. So you can see me
3:20there, let's hit
3:21Submit, and then it draws the chart. So
3:23here we are, we get the chart, and we can
3:25be happy with
3:25it, we can obviously switch to another
3:27chart type, let's use a chart bar chart,
3:30because that's a
3:31better way of sharing this. And then you
3:32have your chart is essentially the new
3:34feature in a nutshell.
3:35Now the next feature is actually the
3:37ability to pin this to the recommended
3:39visualizations right
3:41from this place. So if I go to this little
3:44pin here at the top, I can actually go
3:46ahead and click on
3:47that. And you can see here pin to
3:49recommended visualizations. Now, I can also
3:52replace the
3:53visualization that comes up with. So let's
3:54go ahead and pin this to recommended visual
3:56izations,
3:57some of data ship by region as a bar chart,
4:00basic data analysis and click Save. And so
4:03let's let's
4:04save that. And we'll save that there. What
4:08I'll do is I'll also color this by sub
4:11category. Okay,
4:13so I'm going to throw in a touch of color
4:15in there. And of course, what is
4:18interesting here is
4:19just ignore the phrase color, even though I
4:22think that is sort of important. So let's
4:25see what it
4:25does. Let's just see what it does. Even
4:28though I gave it like a, an explicit
4:30instruction, it kind
4:31of didn't do what I wanted it to do. So
4:33that's fine. And we'll just go with this as
4:36it were. And
4:37what we'll do is we'll leave this here. And
4:39we'll actually go back to my shipping lens
4:41and go and
4:43see the recommended visualization. We'll
4:45click on that and come back in replace it
4:46then go back
4:47again to see this working. So let's go back
4:49to my shipping lens. And you'll see the
4:52recommended
4:52vis that I added should be here. So I guess
4:55added to the bottom of the list. And so
4:57that's cool, we
4:58can see that it's there. And you can sort
5:00of add and change these groups. If you don
5:02't like these
5:03groups, you can of course change them. You
5:05can also go in here and sort of change the
5:06naming of
5:07this. But that's fine. We'll leave that as
5:09is. And you can see that that's this now we
5:10're going to go
5:11in. And when we click on it, what should
5:13happen is two things, it should just load
5:15the vis straight
5:16away, because it remembers it from last
5:18time, it knows exactly what I chose. So
5:20what I can do now
5:21is I can say, by sub, let's do let's do it
5:24by something different by segment, that's
5:27going to be
5:28easier to see on the screen. So let's do by
5:31segment hit enter. I'm doing it with the
5:33mouse. So you can
5:34see me sort of go through the motions, but
5:35you can just hit enter on your keyboard.
5:37And there you go.
5:38And then what I'd like to do is I'd like to
5:40replace the recommendation. So now it asked
5:43me to
5:44replace one. And so it's going to give me a
5:45list, and it's going to show me those
5:47groups. And then I
5:48can go in and actually replace the original
5:50one that I made. So if I click on this now,
5:52and hit
5:53replace, then you'll get that sort of going
5:55back into the sort of database. And it
5:57remembers this
5:58as the visualization. So now let's go back
6:01again to the shipping lens, and click on
6:03the
6:04recommendation to see this working. And we
6:06should see this sort of working in true.
6:08And I say, what
6:10we did is we replaced this one. So now what
6:12I should see is when I go into this as a
6:14bar chart, I
6:15should see a bar chart broken down by
6:17segment. So let's go ahead and click on
6:19that. And fingers
6:20crossed, this has actually worked. And
6:23there we go, the recommendation has
6:25actually been pinned,
6:27and it has worked, and it's replaced what
6:28was there. So that's a really nice addition
6:30there.
6:30And I'm really impressed with the amount of
6:32sort of small nuggets that add into our
6:34data. Just just
6:36this contextual sort of color, and basis
6:38for dimensions and measures is really,
6:41really cool.
6:42When you start typing in terms, and it sort
6:44of uses the same contextual color here to
6:47show you
6:48sort of what's going on groupings,
6:50different dimensions. And this is this is
6:52getting some
6:53really sort of, you know, this is some next
6:55level stuff. I really wish some of this
6:58interface made
6:58it into tablet, you know, when you're
7:00writing a calculation, it would be really
7:02nice to have some
7:03of this sort of contextual information
7:05popping up to give you some assistance. And
7:07yeah, it's just
7:08it's just a shame. It's not going in that
7:09direction at the moment desktop needs some
7:11more love the
7:11calculation window needs more love. But
7:13nevertheless, let's troop on with some more
7:15features here. The very last thing is when
7:18you're creating a lens, as data is going to
7:20be showing
7:21you tips. Now, I don't know if this is like
7:23a cosmetic thing, or if it's actually a
7:24feature. To
7:25me, it's just a little hint, essentially.
7:28So the feature is essentially this, you've
7:30got this
7:31little, little sort of exclamation mark,
7:33then if you actually click on that, it's
7:35called ask data
7:36tips. And it gives you some tips on how to
7:37set up a data source a little bit better.
7:40When you're
7:40creating a lens, this also pops up. So if I
7:42was to go back to my data set, let's go to
7:45sample data
7:46store sales. And let's just create a brand
7:48new lens. The way I actually do this is
7:51select new
7:52lens, call it test 2013 lens, and hit
7:57publish lens, put it into the same folder
8:01as 2021.2. And
8:04there you go, we've got our lens. And now
8:07what we can start to do is to customize
8:09this lens. So you
8:10see the R stated tips still there, I
8:12thought this would actually appear here
8:14somewhere. So this is
8:15this to me is where I thought this would
8:16appear according to the documentation.
8:19According to the
8:19documentation that appears when you're
8:21creating a lens. And so here I am creating
8:23a lens, removing a
8:24bunch of stuff, hit submit. And this is
8:26sort of not popping up and showing me
8:28anything. But this
8:29is what's in the documentation as the new
8:30feature. So that's what it is, you've got a
8:32little hint
8:33there to show you how to create better data
8:35sources. So I'm just looking at my list of
8:37features here for our state. So that's
8:39pretty much it, there's no more to talk
8:41about today. It
8:42really feels like tablets putting a lot
8:45more effort into helping not authors build
8:47dashboards, but you
8:48know, everyday users, because of course,
8:50our state is now available for viewers and
8:52explorers. And it
8:54feels like this whole push on the R stage
8:55or interface has been to enable them. And
8:57that's
8:58really important. It's really nice to see,
9:00sort of Tableau try and bring on board the
9:02next sort of
9:03big group of users that sort of engage in
9:05analytics. So nevertheless, let me know
9:07your
