0:00Hey, it's Tim here. In 23.3 Tableau have
0:02added an interface to add data labels to
0:04your data sources.
0:06There's definitely quirks about this. This
0:08is my fifth attempt at recording this video
0:09because
0:10every time I record it I discover a new qu
0:12irk and I think I've finally figured it all
0:14out.
0:15I'm going to explain it all in this video.
0:17As ever, let's get stuck in.
0:18Okay, so to find this feature you go to the
0:20home page of Tableau Cloud or Tableau
0:22Server
0:23and if you scroll down to the left hand
0:25side here you can just see over the way
0:27down here
0:28you have the option that says data label.
0:30So this little box here if we go ahead and
0:32click on that
0:32we get to this new interface and this is
0:34actually quite nice because there are two
0:37new capabilities
0:38here. You can not only just add new labels
0:40as this button suggests you can go ahead
0:42and type the
0:42values but more importantly you have the
0:45built-in categories that you can add them
0:48to but also
0:49custom categories. So this is super
0:51important because in some organizations you
0:53might have
0:53internal classifications or categories that
0:56you want to apply to your data source and
0:58this now
0:58gives you the ability to add those in the
1:00language that your business speaks. So you
1:02can not only add
1:03labels that your business users understand
1:06but also categories that everyone in the
1:08business
1:08will get. You can see here I've already
1:10created two categories one's called
1:12compliance another
1:13one's called custom category. The option to
1:15do that is easy to miss. This is the first
1:17thing I
1:17missed entirely in my first example of this
1:19video. So that's the new category option.
1:22Go ahead and
1:22click on that and that will actually allow
1:24you to create a category. So if you go
1:25ahead and click on
1:26that it's very simple you get category name
1:28a description and the description just
1:30works like
1:31all the other formatting setups that you've
1:33had for description fields it's super easy.
1:35Once you've done that that category becomes
1:37available here in the custom category then
1:40you
1:40can go ahead and choose that for example
1:42compliance go ahead select the label value
1:44and you can enter
1:45what you need to and create the new label.
1:47Now you can see that I actually already
1:49done this.
1:50If you go over here to the bottom you can
1:52see I've created two categories. This
1:54brings me to the next
1:55sort of thing I want to highlight here
1:57which is when you go and look at this page
2:00you'll see that
2:00there are already some labels here. These
2:03are the ones that come with Tableau by
2:05default so it's
2:05actually not possible to delete these you
2:07can see that these don't have a delete
2:09option they've been
2:10grayed out so you can't delete them but
2:12when you create new ones you can go ahead
2:14and delete this.
2:15So this one for example is one I created
2:17and you can see that I can actually delete
2:19it so that's
2:19something to bear in mind. The final thing
2:22to know about this is when you go ahead and
2:24select
2:24all up here and then you see the actions
2:26option it tells you that there's nothing
2:28you can do and
2:29this is kind of like frustrating user
2:31interface because ultimately the reason you
2:33can't do
2:34anything with these is because you've
2:35selected some items that you can't delete
2:37or change because
2:38they're the default ones that come with
2:40Tableau but it doesn't just stop there. Let
2:42me go ahead
2:42and clear all because if you go to these
2:45compliance ones phi and pii if I go ahead
2:48and select these
2:49two and then I go back to actions I still
2:51don't get an option there so I don't quite
2:53understand
2:54what's going on with this sort of multi-
2:56selection and action setup but I do know
2:58that look if you
2:59select something that you've edited you
3:01should be able to do this edit and delete
3:03so there's
3:04definitely a dynamic maybe there's some
3:06sort of issue with the ones that have
3:08custom categories
3:09and you can't just sort of go ahead and
3:11create those but if you select multiple
3:13ones for example
3:14that have been created in the existing
3:16categories then this actions option seems
3:18to work maybe it's
3:19a bug that's coming in the future. Now the
3:21final thing that I don't see here that I
3:23think would be
3:24quite good is actually some way to sort
3:25this list there's no sort of interactivity
3:28to sort this and
3:28it might just be the version that I'm on I
3:30'm using an old version of Tableau cloud
3:32that's had this
3:33version so it might not be in the shipping
3:35version that everyone's seeing so what I
3:36typically expect
3:37is the ability to sort of sort and filter
3:39and search for these maybe who's created
3:42them some
3:42other metadata but if that's not actually
3:44in the final release then that's something
3:45I would love
3:46to see and that would be really really
3:47interesting to sort of add it's kind of the
3:49thing you've come
3:50to expect for example what I'm specifically
3:53talking about is this stuff here this kind
3:55of
3:55metadata just what's contextual for data
3:57levels the ability to sort and filter you
3:59've got the
4:00same options over here on the left hand
4:01side so that's all I'm really sort of
4:03looking to see in
4:04this page just to make it easier to work
4:06with now you can see there's a blue link
4:09here to this
4:09compliance item but all that does is it
4:11enables the little pop-up and that just
4:13allows you to
4:14then go ahead and edit it if you need to so
4:16that doesn't actually take you to a page
4:18for just those
4:18categories but nonetheless this is quite
4:20good because now you can start to see how
4:22these work
4:23now adding data labels is not new I've
4:25covered it before in many videos and so let
4:28's just go have a
4:28look and see how this works because there's
4:31been an enhancement to this that I think is
4:33again
4:33slightly confusing I didn't realize it
4:35until about 15 minutes ago when I started
4:37recording this video
4:38so let's take a look at this if we go to a
4:41list of data sources let's go to one that I
4:43've used before
4:44top salesperson you'll see that it's got
4:46two classifications already it's certified
4:49which is
4:49something that you can do to say this data
4:51source is good and secondly you've got
4:53sensitivity and
4:54there's two sensitivity labels now it is
4:56possible to add multiple labels to one data
4:59source but this
5:00one actually inherits two because further
5:02upstream the data source connection the
5:04virtual connection
5:06has a sensitivity label applied to it and
5:08then this data source has its own
5:10sensitivity label
5:11applied to it so it gets two sensitivity
5:13labels and this is a more generic
5:15sensitivity label that
5:16came from a previous release what we now
5:18have is the ability to actually give these
5:20names and so
5:21if I go ahead and close this we're going to
5:23add a label that we've created a custom
5:25label
5:25we'll go ahead and click on these three
5:27dots and you get this data labels options
5:29now
5:29this is sort of an interesting interface
5:32because you've got the default ones the
5:34certification data quality warning extract
5:37refreshes and sensitivity labels these just
5:39open up the standard interface for those
5:40items this is not new I've covered this
5:42before
5:43but to access the custom ones what you have
5:45to do is go to more data labels go ahead
5:47and click on
5:48that and then you get the option to see the
5:50labels now you just get the labels not the
5:52categories and
5:53so if you see here the custom category I
5:55created was called compliance and the two
5:57labels in that
5:58are phi and pii so I can actually go ahead
6:01and select one and select add and then you
6:04can go
6:05ahead and select another one and select add
6:07and that is how you're adding multiple ones
6:09you can
6:09add an additional message that's specific
6:11for this specific data source so you can
6:13add some context
6:14and maybe something's happened or maybe you
6:16want to add a little bit more than what the
6:18sensitivity
6:18label gives you so this is good and again
6:20this has the standard formatting you've
6:22come to expect so
6:23it's quite nice to be able to do that if I
6:25just move this over to the left hand side
6:26and you can
6:27see the formatting guide there it works as
6:29you'd as you'd think so this is quite nice
6:31you can also
6:32delete and remove them as well so if I go
6:34ahead and do that it does apply them you
6:36can see there's
6:36little messages at the top saying it's been
6:38applied you do have to refresh the page
6:40just
6:40to see that I wish the page did that
6:42automatically a little nice a little bit of
6:44a javascript wouldn't
6:45hurt there but there you go you've got the
6:48new two compliance categories so I can
6:50really start
6:51to see organizations that have the data
6:53management add-on to use this feature being
6:55able to start to
6:56really use these to color some context and
6:58give some context to their data sources I
7:01think it's
7:01quite nice to see I would also love the
7:03ability to change these colors I kind of
7:04think the colors
7:05they give them are kind of boring Tableau
7:07sort of hugged all the best colors for
7:09themselves
7:10so um that's kind of interesting sensitive
7:12data gets this nice beautiful color but all
7:14the others
7:14kind of get this weird gray and if there is
7:16a way to edit those that would be great you
7:18could also
7:19match that to colors within your
7:20organization maybe make it more sort of
7:22organization specific
7:24but there you go that is data labels now
7:26one last thing I was trying to think what
7:28other categories
7:29and labels would I create and so of course
7:31I asked our best friend ChatGPT hey what
7:34are some other
7:34compliance categories that you could
7:36recommend that are similar to PII and it
7:38came solid so
7:39PHI protected health information SPI
7:42sensitive personal information all of these
7:44really specific
7:45to certain industries and in some cases
7:48countries and in some cases legal context
7:50so it really
7:51depends on the business and I've also seen
7:52companies that come up with their own class
7:55ifications
7:55and setups within their uh set of the sort
7:58of remit of their organization and so that
8:00's also
8:01quite good and some industries sort of come
8:03together to form a standard as well so
8:05there's
8:05lots of different cuts and you're all going
8:07to know these for your own industry so let
8:09me know
